  • Sales related.
  • Handle customer and other general enquiries – Quote basic systems and inform reps of customer enquiries, and maintain an enquiry database.
  • Creating SO based on IOL usage reports emailed through by customers.
  • Placement of purchase orders for equipment to suppliers – Daily.
  • Follow up on purchase orders and update order confirmation date in SAP – weekly.
  • Send order confirmation to customers and revised ETA if required– daily. Inform and coordinate deliveries with representatives and technicians on order confirmation and ETA of stock- weekly.
  • Provide stores with information to compile documentation for the export of goods for customs and shipping agents/ local couriers – Carnet for loan equipment.
  • Prepare a CPO folder for all deliveries and CPO reports – weekly.
  • Prepare and send NPS letters to customers –Weekly.
  • Weekly check on the correctness of SO & PO. – Customer order numbers, and item numbers in PO and SO correlate.
  • Check on open SO and PO (back orders) – Weekly. Send SB copies of large orders to book forward cover – As confthe irmation is received.
  • Weekly SO check for unpaid goods ready for delivery – F&C debtors clerk concerning customer payments- possible delays & reasons.
  • Weekly. SAP price lists – maintain current, add new items and pricing and make necessary changes.
  • Electronic checking of orders Med share folder – maintain circulars, current price lists, sales manuals, electronic brochures etc. Branch SO – sent to HOD – PO to be handled.
  • Inventory:
    SAP inventory enquiries and control. Stock management. Ensure correct stock holding of consumables with stores manager.
    Participate in quarterly stock counts. Control and monitor demo stock, identify and pack demo stock for reps and branches for demo’s, conferences and workshops.
    Maintain demo stock schedule on share folder. Damaged stock to be reported tothe PC manager and if appropriate RMA and insurance.
    Preparing and consolidating of Consignment check reports for IOL’s Confirmation and correction of unidentified serial numbers.
    Picking & packing of replacement stock Monitoring stock Levels (IOLs and other consumables) Ordering of stock (IOLs) Goods receipting stock (IOL’s) Unpacking stock (IOL’s) Managing expiry dates on Surgical Implant stock.
    Reporting.
    Weekly report to PC manager to include
    SO’s and POs any anticipated problems. A number of customer enquiries and responsible representatives.
    Demo stock status.
    Outstanding debtor payments.
    Minutes for a bi-weekly sales meeting and maintained action list.
    Travel costs.
    NPS status complete with <R40K systems.
    No CPO submitted for the month and customer details. Customer leads database and status.
  • Excellent interpersonal communication and stronorganizationalal skills.
  • Sales understanding and appetite for new business development Grade 12 with interest in sales
  • Degree, Diploma, or certificate in administration
  • Experience with major ERP systems such as SAP, Sales Force
  • Intermediate knowledge of excel.
  • At least 5 years’ administrative experience in a commercial team working in a medium / large business.
