Role summary

We are seeking a receptionist to support our Johannesburg office. In jurisdictions where the Office Management role is deemed to be that of the Reception team, the receptionists are expected to undertake the general daily tasks to support the office, staff and visitors. This includes receiving visitors to the organisation, determining their needs and directing them accordingly. Answering incoming phone calls, dealing with general queries and directing them to the relevant personnel or department. Assist with Facilities and Office Management tasks. The ideal candidate will contribute towards the overall professional image of the company and have strong computer and communication skills.

Key responsibilities

  • Reception: Answer the telephone, receive visitors and control the reception area in a professional manner, which will promote the good image of the company. Attend to visitors’ needs. Manage the Reception/Office Services email box. Welcome new starters and assist with their onboarding and security process. Book and arrange parking for staff and visitors. Assist with travel arrangements and bookings. Perform hotel bookings, arrange taxi/car transfers to and from airport and hotels;
  • Office Management: Log service calls with suppliers and vendors and following up until issues are resolved. Order stationery and keep a stock register relating to the stationery cupboard. Communicate building and landlord issues/news/updates to staff. Administrative tasks (e.g. archiving, bind presentations, scanning). Support the Facilities manager and assist with office operations and administrative activities, and any such other related activities as may be required. Attend to all Courier and Post deliveries and collections;
  • Meeting Rooms and Catering: Maintain and manage centralised calendars and meeting room bookings. Arrange catering on request;
  • Occupational Health and Safety: First Aider assistance to all staff (First Aid Level 1 training will be provided). Fulfil the role of onsite OHS manager, including arranging First Aider and OHS training for other staff when needed.

Requirements

Skills / Experience

  • Minimum of 5 years Reception and/or Office Management experience;
  • Matric/Grade 12 with a tertiary qualification relating to office administration, computer skills/literacy; Microsoft Outlook, Excel, Word, PowerPoint and browser/web applications;
  • Excellent English communication skills, both verbal and written. Being bilingual is an added advantage;
  • Good telephone voice, manner and etiquette;
  • Good organisational skills, attention to detail;
  • Strong administrative skills;
  • Ability to multitask, work under pressure and manage own time;
  • Well groomed, well presented, friendly and professional;
  • Office hours are 08h00 – 17h00, no flexitime.
