PURPOSE:

• To execute transactional activities in alignment with Human Resources governance, related processes and policies.

Minimum Requirements

QUALIFICATIONS:

  • Programme in Human Resources Management (Essential/Minimum)

EXPERIENCE:

2-3 years HR SAP and administrative experience. Essential/Minimum Operational

REQUIREMENTS:

  • Psychometric Assessment (Essential/Minimum)
  • Certificate of Fitness (Essential/Minimum)
  • Competence: SAP Position Specific Module (Essential/Minimum)
  • Competence: MS Office Relevant Package (Essential/Minimum)

Duties & Responsibilities

Administration and Document Control

  • Register, capture, update, control and maintain data
  • Ensure data is captured accurately to facilitate availability of information
  • File and scan documentation on SAP system and manage archive system
  • Follow standardize data input and ensure databases is in accordance with procedural standards
  • Quality checks on documentation and system
  • Maintain confidentiality around all documents at all times
  • Ensure availability of information

Compliance, Governance and Assurance

  • Execute responsibilities in a manner that is in accordance to guidelines and standards
  • Ensure compliance to applicable policies, processes, procedures and applicable statutory laws and regulations

  • Keep system updated regarding progress on grievances and disciplinary actions
  • Ensure compliance and adherence to conditions of employment in terms of employee benefits and share schemes
  • Assist with basic disciplinary cases in collaboration with HR Practitioner/Employee Relations (ER) and line management

Internal Business Processes

  • Complete data admin for PA/PY processes
  • Give administrative support with regards to training/formal studies/HR data management
  • Use HR technology/systems to extract relevant HR data
  • Ensure data correctness and quality of SAP HR master data during input on relevant systems
  • Capture all staff changes on relevant systems
  • Compile meaningful HR reports through interpretation comparisons/trend analyses
  • Support the employee separation process and procedures (e.g. resignation, retirement, retrenchment, dismissal, ill health, death and incapacity) through data administration role
  • Coordinate employee movement processes and procedures (e.g. employee transfers, promotions, redeployment and rotation) and confirm with relevant third parties (e.g. Buy Aid, Housing) for any outstanding fees owed by employees during termination of service
  • Liaise with Payroll and Systems Administration to ensure smooth onboarding changes in employee status

Medical Scheme and Pension Fund Administration

  • Ensure all employees belong to a pension and medical aid as per conditions of employment
  • Liaise with pension fund and medical aid schemes when amendments are requested by employees

Recruitment Support

  • Assist with end-to-end recruitment process in collaboration with HR Practitioner/Human Resources Business Partner (HRBP)
  • Complete relevant engagements documents for new employees
  • Accurate and complete capturing of relevant engagements documents on SAP to ensure an error free payroll
  • Responsible for relocation administration
  • Assist with selection process, in collaboration with HRBP and HR Practitioner and line management (from A to C5 Level)
  • Escalate any deviations and discrepancies to your supervisor

  • Maintain and ensure a healthy environment and safe operations practices. Ensure compliance with all applicable Safety Health and Environmental (SHE) policies and procedures in line with set standards
